Integrator selection & delivery
AV Control Software Evaluation Matrix for Integrators
Score AV software against hard requirements, device evidence, recovery, deployment effort and support boundaries.
An AV control software evaluation matrix should separate mandatory requirements from weighted preferences and attach evidence to each score. Test the actual workflow and device models rather than scoring marketing terms. A platform that wins on interface appearance may still fail an essential requirement such as supported standby control, recoverable project files or the customer's permitted host configuration.
Define hard gates first
List requirements that cannot be traded away: required protocol behavior, supported deployment platform, approved network architecture and necessary licensing rights. Give each a pass, fail or unresolved status. Do not allow a high weighted total to cancel a failed hard gate, and do not quietly treat “unresolved” as a pass because a salesperson expects support to exist.
Next define preferences such as editor usability, template reuse or reporting convenience. Weight these according to the integrator's real delivery work. A distributor preparing many similar rooms may value repeatable deployment differently from a specialist building one complex show. Record the rationale before testing products to avoid weights that simply favor a preferred candidate.
Use evidence-based score rows
| Criterion | Evidence requested | Example scoring rule |
|---|---|---|
| Required device action | Real model command and reply | Hard gate; unresolved until tested |
| Scene editing | Engineer completes supplied task | Score observed effort and errors |
| Recovery | Restore on an approved environment | Score documented repeatability |
| Deployment rights | Written applicable license terms | Hard gate for intended resale model |
| Support boundary | Named provider and escalation route | Score against operational need |
| Handover | Export and customer custody exercise | Score usable deliverables |
These scoring suggestions are editorial. They are not vendor ratings or independently measured market rankings. Define the scale explicitly: for example, zero means absent, one means manual workaround and two means demonstrated as required. More numerical precision is not automatically more accurate.
Run the same task for each candidate
Prepare a small test project with a normal scene, a missing-device exception and a recovery action. Give evaluators the same equipment, documentation and completion criteria. Record their prior familiarity; a tool an engineer has used for years may appear faster than a new tool during a short exercise for reasons unrelated to its long-term suitability.
Capture both implementation effort and maintenance effort. Ask a second person to identify the device mapping, change a label and restore the baseline. A product that one expert can configure quickly may still impose a handover burden. Keep observed evidence separate from opinions about future productivity.
Include security and supplier evidence
NIST supply-chain risk guidance provides a useful reference for supplier scrutiny. CISA's remote-access guide is relevant when evaluating how support sessions are authorized. The matrix applies these ideas to an AV purchasing decision without claiming certification or a universal compliance outcome.
Ask which features require ongoing services, internet access or third-party subscriptions. Request the applicable documentation and licensing terms for the proposed edition. Record any feature that was demonstrated in a different edition or environment so it does not silently enter the quoted scope.
Make the final decision explainable
Present hard-gate outcomes, weighted results and unresolved questions together. Include sensitivity checks: if supportability receives more weight, does the preferred choice change? This reveals whether the decision depends on a narrow assumption rather than disguising uncertainty inside a single score.
Accept the evaluation when stakeholders can trace the preferred choice to observed requirements and know what remains unverified. This guide complements the broader AV control software introduction rather than providing a product ranking. Bring your completed matrix to SoftControl partners and ask for evidence against the specific rows that matter to your installations.
