Perpetual vs Subscription AV Software: Compare Rights and Dependencies
Compare AV license duration, feature entitlements, support, rehosting and service dependencies using documented procurement questions.
Compare perpetual and subscription AV software by separating the right to use a version from updates, support, optional services and hardware-transfer rights. A perpetual license does not automatically include every future feature or unrestricted rehosting. A subscription does not necessarily require every control action to traverse the internet. Read the applicable edition terms and verify operational dependencies before comparing costs.
Create a rights checklist
Ask what the license covers: device, user, concurrent session, venue or feature. Identify whether a standby host needs its own entitlement and whether a reseller may transfer the installation to the end customer. Keep the vendor's written answer with the quotation, including the version and terms that apply to the proposed deployment.
Separate initial activation from ongoing validation. A product may permit an offline activation procedure while still restricting transfer to replacement hardware. Another product may run locally but periodically verify a subscription. These are distinct questions and should appear in separate procurement rows.
Compare the meaningful questions
| Question | Evidence to obtain | Why it changes the decision |
|---|---|---|
| What continues after payments stop? | Applicable usage terms | Distinguishes use rights from service access |
| Which upgrades are included? | Edition and maintenance policy | Avoids assuming future features are free |
| Can the host be replaced? | Rehosting procedure and conditions | Determines recovery feasibility |
| Are remote services optional? | Architecture and feature documentation | Reveals operating dependencies |
| Who owns the entitlement? | End-customer and reseller arrangement | Prevents account-custody disputes |
Have commercial and legal wording reviewed through the purchaser's normal process. This technical checklist explains questions to resolve; it is not an interpretation of a particular agreement or advice about licensing law.
Use official examples without generalizing
The Q-SYS software-based Dante page documents perpetual, node-locked feature licenses and an offline activation option. That combination shows why “perpetual” and “portable” are not synonyms. It does not mean every Q-SYS feature has the same conditions, or that the example can be compared directly with a complete AV control package.
Microsoft's licensing and activation overview describes periodic connectivity requirements for ordinary Microsoft 365 Apps activation. It is an example of checking a product's actual activation behavior, not a claim that all subscription AV software behaves like Office. Ask each AV supplier for its own current documentation.
Model a matched deployment
Use the same room count, supported features and evaluation horizon for both offers. Include host requirements, optional modules, deployment labor, training, support and expected replacement events. Do not compare a bare perpetual license with a subscription that also includes management or support unless those differences are made explicit.
Write assumptions visibly. For a hypothetical five-year model, you might hold room count constant and include one planned host replacement; these are scenario choices, not claims about typical failure rates. Show a second scenario with expansion or a different maintenance arrangement to reveal which assumptions drive the result.
Validate the operational promise
Before purchasing, perform permitted activation, restart and recovery tests on the intended configuration. Do not deliberately expire licenses or alter clocks without a vendor-supported test procedure. If replacement activation requires vendor intervention, record the contact route and the agreed expectations rather than assuming immediate reissue.
A comparison is ready when rights, dependencies and included services are documented and the customer understands unresolved questions. Read the existing AV control system cost guide for broader cost categories. For SoftControl, verify current edition terms, device binding and replacement arrangements through the partner channel; this guide does not add promises to the applicable license.
