AV Control Proof of Concept: Answer the Riskiest Project Question

Scope an AV PoC around uncertain device behavior, recovery and delivery effort with explicit evidence and exit criteria.

SoftControl Editorial TeamPublished Updated

An AV control proof of concept should answer the project's most consequential unresolved question using representative equipment and a defined test. It is not a miniature showroom or a complete production installation. Start with a decision such as “Can this projector be controlled and verified from standby under the customer's network policy?” and stop only when the evidence supports a clear next action.

Choose uncertainty, not visual polish

List assumptions that could invalidate the proposal: an undocumented device command, an unavailable standby interface, a required host restriction or a license-transfer dependency. Rank them by operational consequence and uncertainty. Select a small set that can realistically be tested before committing to the full project.

Define the decision owner. A PoC may need both an AV engineer and customer IT because a protocol works technically but is not permitted on the intended network. Record the exact decision the evidence will inform, such as approving the architecture, choosing another transport or revising the quoted scope.

Write a one-page PoC charter

Charter itemExample statement
QuestionCan the installed model report power state after overnight standby?
Representative environmentActual model and firmware; approved network segment
TestSupported on/off/query workflow and controlled restart
Pass criterionRequired states observed using documented feedback
Failure consequenceEvaluate another interface or revise operator checks
DeliverableLogs, observations, configuration and unresolved limits
ExitArchitecture decision by named owner

The example is a planning template, not a tested product result. Set timing and repetition requirements with the project team. Do not invent a universal number of successful cycles that guarantees future reliability, and do not treat a simulator as proof of actual device behavior.

Make the environment representative

Record host edition, application version, adapter model, device settings and firmware. Use actual equipment for claims about physical operation. A simulator remains useful for exception handling or a missing reply, but label that evidence separately. Where production access is unavailable, list the differences that still require site verification.

The AVIXA performance verification overview is relevant to explicit criteria and recorded results. The NIST supply-chain risk reference provides context for scrutinizing vendor dependencies. This PoC charter is our practical application, not a certification process or a reproduction of paid standard requirements.

Test the failure path and the handover

Run the required normal action, then a controlled exception such as an unavailable endpoint. Observe the message, recovery route and final device state. Include a second engineer where feasible: ask them to reproduce the result from the record rather than relying on the original author's memory.

Record implementation effort by task, including time spent locating manuals, resolving network access and preparing configuration. These observations can improve a project estimate, but one PoC is not a defensible basis for a universal productivity claim. Keep learning effort distinct from repeat deployment effort.

Close with a decision and limits

Use four outcomes: demonstrated, not demonstrated, blocked or outside scope. A blocked test needs the missing dependency and next owner. A pass should identify the exact environment and any assumptions still untested. Preserve the tested package and avoid quietly changing it before stakeholders review the evidence.

Accept the PoC when it resolves the chosen uncertainty or clearly identifies why another decision is required. Production readiness still needs full project validation. Use the AV commissioning checklist for later field work. Bring a one-page charter and representative devices to SoftControl partners to evaluate specific behavior before making deployment commitments.
