AV Control Site Acceptance Test: Verify the Installed Venue
Validate real room behavior, network dependencies and operational recovery with an evidence-based site acceptance matrix.
An AV control site acceptance test, or SAT, verifies the installed system in its real room with the actual devices, network, content and operators. Build it around approved operating requirements and measured outcomes. A workshop test remains useful evidence, but it cannot establish site-specific routing, physical labels, network permissions or the visitor experience in the finished venue.
Establish readiness for the test window
Confirm that equipment is installed and labeled, content versions are approved and the relevant IT and operations contacts can attend. Walk the room before beginning. Identify temporary cables, incomplete construction and environmental conditions that could invalidate a result. Record these limitations rather than making them invisible in a pass/fail spreadsheet.
Start from a named configuration baseline. Capture the application version, room package, device firmware and address schedule. If someone edits the system during testing, either repeat affected tests or identify which results belong to the previous version. Otherwise the final report can combine several incompatible states without revealing the difference.
Test complete action paths
| Site scenario | Required observation | Example exception |
|---|---|---|
| Open venue from standby | Actual displays, audio and player readiness | A display network interface sleeps |
| Select a presentation | Correct image and sound in intended zone | Command succeeds but wrong output is routed |
| Close after visitor session | Agreed final device states | Player remains running in a closed zone |
| Restart control host | Defined recovery and visible state | Interface implies devices are ready without checking |
| Local manual intervention | Reconciled or clearly unknown status | Operator changes input with handheld remote |
These are example scenarios, not universal acceptance thresholds. Define the expected behavior for the particular system. If a device offers no trustworthy status query, document the observation method and avoid portraying an estimated state as confirmed feedback.
Exercise failures without disrupting unrelated work
Use an approved test window and coordinate with other contractors. A network disconnection can affect shared systems, so isolate the intended path rather than pulling arbitrary rack cables. For every injected fault, record the change, expected exception, observed response and restoration action. Confirm the venue returns to its agreed state afterward.
Test schedule behavior using the agreed local clock and calendar. Include a closed day and a special event when these are in scope. Do not leave a temporary commissioning schedule active after the test. If changing time could affect licenses, logs or other applications, use a supported simulation method or a separately approved test environment instead.
Record evidence that answers disputes
The AVIXA public verification summary is relevant to verification criteria and reporting. This SAT is our suggested workflow, not a certification against the full paid standard. The AVIXA documentation summary is the companion reference for responsibility and delivery of the resulting records.
Use one test identifier per independently assessable outcome. Attach a concise result, relevant log or photograph where appropriate, the tester and the witness. An unresolved defect should have an operational impact and owner, not only a red cell. Classify blocked tests separately from failed ones: neither is a pass, but they require different next actions.
Agree what permits handover
A defensible acceptance decision identifies passed requirements, outstanding exceptions and any temporary operating procedure. The customer should know whether a defect prevents opening, affects one zone or simply changes a label. Assign a retest date and preserve the package that produced the current report. Conditional acceptance is a recorded business decision, not an engineering way to erase incomplete work.
This page expands the evidence and witness process around the AV commissioning checklist. It does not replace manufacturer safety instructions, network approvals or specialist system commissioning. Bring a real SAT script and device inventory to SoftControl partners when assessing a repeatable installation and handover approach.
