AV Project Change Control for Scenes, Devices and Interfaces
Assess a proposed AV change through dependency impact, approval, regression testing and rollback before deployment.
AV project change control is a lightweight process for deciding whether a requested device, scene or interface change can enter the approved system. Record the request, evaluate its consequences, obtain the right approval and preserve a tested rollback. The goal is to prevent an apparently small edit from silently changing agreed operation or creating an unowned support obligation.
Define what counts as a change
A button label correction and a projector replacement are both changes, but they need different review depth. Classify changes by affected behavior rather than by how many minutes the edit appears to take. Moving a Close button next to Play may alter operator error risk; changing an IP address may affect control, monitoring, documentation and firewall rules.
Keep the initial request separate from the proposed solution. “Visitors should hear the narration in French” may involve content, audio routing and panel labels, rather than merely adding a language button. Record the business need first, then ask each affected supplier to identify the work and verification needed.
Create one useful change record
| Record field | Example content |
|---|---|
| Request | Add a guided tour scene for evening events |
| Affected baseline | Room package R07; content package C04 |
| Dependencies | Playback assets, lighting interface, operator guide |
| Operational risk | Event scene may override daily closing schedule |
| Proposed verification | Scene transition, schedule conflict and restart tests |
| Approval | Customer operations and delivery lead |
| Rollback | Restore R07 and verify normal opening |
Use identifiers in test records and release notes so the reason for an edit remains discoverable later. An email saying “please update it” should not be the only evidence of what was approved, particularly when several rooms receive similar changes.
Assess blast radius before implementation
Inspect the complete action path. A control page might call a scene that references a shared command used in another zone. Editing that command can affect multiple workflows even if the requested change concerns one screen. Mark shared objects and identify which existing tests need to run again. The approved impact review should also include IT, content or equipment owners where their systems change.
Check recovery conditions. Can the previous configuration still open in the current application version? Has a firmware update changed its interpretation? Is the backup local and usable without the departing engineer's account? A rollback plan that depends on an unavailable cloud account is a dependency to resolve before the change window.
Release inside a controlled window
NIST's configuration management publication is the supporting reference for configuration control principles. Our AV change record applies those principles without claiming that every exhibition project is subject to federal-system requirements. The AVIXA documentation overview is useful context for updating delivered records alongside the running system.
Prepare the candidate configuration away from normal visitor operation where possible. Preserve a baseline, record the exact files being deployed and agree who can stop the work. After deployment, execute the new requirement test and selected regression tests. A successful new feature does not compensate for a broken daily opening sequence.
Close the request using observed results
Record the release identifier, actual deployment time, test evidence and remaining exceptions. Update panel screenshots, device schedules and operator instructions when the behavior changed. Notify the operational owner through the project's agreed process; an undocumented change is harder to support even when it works correctly.
Accept the change only when its intended behavior passes, relevant old behavior remains intact and rollback remains possible or an explicit new recovery path is agreed. Urgent restoration work may require an accelerated review, but it still needs a retrospective record. Consult the one-touch opening and closing guide when a change affects venue scenes, and discuss repeatable deployment needs through the partner channel.
